This Privacy Policy explains how Pacific Edge (pacificedge.uk) processes personal data. We handle data in line with UK GDPR and the Data Protection Act 2018.

Pacific Edge is the franchise software product we operate for Driving Miss Daisy franchisees in the UK. In this policy, “we”, “us” and “our” mean Driving Miss Daisy (UK) Ltd.

1. What this service is

Pacific Edge is UK franchisor software for Driving Miss Daisy franchisees. Authorised staff use it to manage bookings, calendars, clients, invoicing, staff and vehicles.

2. Personal data we process

Depending on how the service is used, this may include:

• Staff account data (name, email, login and role).
• Franchisee operational data (clients, bookings, addresses, invoices, staff and vehicle records).
• Technical logs (IP address, login times, security-related events).
• Google account data if a franchisee connects Google Calendar (see section 5).

3. Why we process it

We process personal data to operate the franchise software, authenticate users, provide support, keep the service secure, and meet legal obligations. The lawful bases are typically performance of a contract (providing the software to the franchise), legitimate interests (security and service improvement), and legal obligation where applicable.

4. Sharing

We do not sell personal data. Data may be shared with:

• The relevant franchisee and franchisor staff who are authorised to see it.
• Service providers who host or operate the platform, under contract.
• Google, only if you choose to connect Google Calendar, and only as described below.
• Authorities where required by law.

5. Google user data

If you connect a Google account, Pacific Edge requests access via OAuth solely to sync booking events with Google Calendar. Specifically:

• We use calendar.calendarlist.readonly to list calendars so you can choose which calendar to sync.
• We use calendar.events to create, update and delete booking events on the selected calendar.
• We store OAuth tokens against the franchisee record so the connection can continue without asking you to sign in to Google each time.
• We do not sell Google user data, do not use it for advertising, and do not use it to train AI models.
• Use of information received from Google APIs adheres to the Google API Services User Data Policy, including Limited Use requirements.

You can disconnect Google Calendar in the application. You can also revoke access in your Google account security settings. When disconnected, stored Google tokens for that franchisee are removed.

6. Retention

We keep personal data only as long as needed for the purposes above, then delete or anonymise it unless a legal obligation requires longer. As a guide:

• Staff accounts: for the life of the account, then deleted or anonymised within 12 months of deactivation.
• Booking, client and invoice records: while the franchise uses the service, and typically up to 7 years after the record is no longer active, to meet UK tax and accounting requirements.
• Security and login logs: typically up to 12 months.
• Google OAuth tokens: only while Calendar sync remains connected; then deleted.

7. Security

Access is restricted to authenticated users with assigned roles. We use HTTPS and standard hosting controls. No method of transmission or storage is completely secure.

8. Your rights

Under UK GDPR you may have the right to access, rectify, erase, restrict or object to processing, and to data portability. You may also complain to the Information Commissioner’s Office (ICO). To exercise rights, contact Driving Miss Daisy (UK) Ltd at the registered office above or your franchisor administrator.

9. International transfers

The service is provided for UK franchisees. Hosting and support providers may process data in the UK, the EEA or other countries. Where personal data is transferred outside the UK, we rely on a UK adequacy decision or standard contractual clauses (or equivalent safeguards).

If you connect Google Calendar, Google may process that data outside the UK under Google’s terms and transfer mechanisms (including standard contractual clauses and, where applicable, the UK Extension to the EU-US Data Privacy Framework).

We may update this policy. The current version will be published at this URL.
